Your privacy matters to us. Here's how we handle your information on SurrendaSoft Tools.

1. Who we are

SurrendaSoft Tools is operated by SurrendaSoft Pty Ltd(ABN 87 687 922 729), based in Sydney, NSW, Australia. We provide free browser-based utilities at tools.surrendasoft.com.

2. What we do not collect by default

Most tools run entirely in your browser. In the normal course of using a tool, the files, text, numbers, and other content you enter are processed on your device and are not uploaded to SurrendaSoft unless a specific tool tells you otherwise.

Some tools may save a draft locally in your browser (for example, a workflow diagram or checklist) using browser storage. That data stays on your device unless you choose to share it yourself.

3. Information we collect

We collect limited information in the following situations:

3.1 Analytics (automatic)

We use Google Analytics via Firebase to understand how the site is used. This may include:

  • Browser type, device type, and operating system
  • Approximate location (city level)
  • Pages and tools visited
  • Anonymous usage events such as tool opens, searches, and button clicks

Analytics events may include which tool was opened (for example, “invoice PDF”) but do not include the content you type, paste, or upload into tools. We do not send your form fields, documents, or calculations to analytics.

3.2 Tool feedback (optional)

If you choose to submit feedback on a tool page, we collect:

  • Star rating (1–5)
  • Tool name and tool id
  • Optional written comment
  • Optional email address (only if you provide one for a reply or confirmation)

Feedback is transmitted over HTTPS to our server-side contact handler, stored in Google Cloud Firestore for our internal review, and may also be emailed to our team. Feedback is separate from the content you process inside tools.

3.3 Tool suggestions

The “Suggest a tool” page opens your own email client with a pre-filled message. We do not receive that suggestion unless you send the email yourself.

3.4 Third-party services you choose to use

Some tools contact third-party services only when you take an action. In those cases, your request may leave your browser and go directly to the third party (not through SurrendaSoft servers). Examples include:

  • SEO Checker — sends the URL you enter to Google PageSpeed Insights
  • Website Status Checker — checks reachability from your browser
  • Internet Speed Checker — runs a download test via Cloudflare
  • IP & System Info — may look up your public IP via ipify.org
  • Text Extractor (OCR) — downloads OCR language data from a public CDN; your files are processed locally

Those third parties have their own privacy policies. We recommend reviewing them if you use those tools with sensitive information.

4. How we use your information

We use the information we collect to:

  • Operate, maintain, and improve SurrendaSoft Tools
  • Understand which tools are useful and where we should invest effort
  • Review optional feedback and fix issues
  • Send a confirmation email when you provide an email address with feedback
  • Comply with legal obligations

5. Data processors and third parties

We do not sell or rent your personal information. Data may be processed by:

  • Google Cloud (Firebase Hosting, Functions, Firestore) — hosts the site, processes feedback submissions, and stores feedback for internal review
  • Gmail API (Google) — delivers feedback notification and optional auto-response emails
  • Google Analytics (Firebase) — anonymised site usage data. See Google's Privacy Policy
  • Other third-party services — only when you actively use a tool that contacts them (see section 3.4)

We may also disclose information where required by law.

6. Data retention

Tool feedback stored in Firestore is kept for as long as needed to review and improve our tools, unless you ask us to delete it sooner.

Feedback notification emails are retained in our normal business email correspondence in line with our record-keeping practices.

Google Analytics event data is retained for 2 months. User-level analytics data is retained for up to 14 months (reset on new activity) and then automatically deleted.

7. Data security

Feedback submissions are transmitted over encrypted HTTPS and processed on Google Cloud infrastructure. We implement reasonable security measures, but no method of internet transmission is 100% secure.

8. Your rights

Under Australian privacy law, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your information, where applicable

9. Cookies

We use analytics cookies (via Google Analytics / Firebase) to understand how visitors use the site. You can control cookies through your browser settings.

10. Changes to this policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date.
